It reads signals from your ERP, decides what to do, gets a human to approve it, and writes the action back into that same ERP, without anyone leaving their workflow.

No. Groflex connects to your existing ERP, WMS, and IoT infrastructure via secure API and MCP connectors. There is no data migration, no new database, and no disruption to existing workflows.

Week 6: full decision loop operational, audit trail live. Most enterprise pilots are live in under 6 weeks.

Do we need to hire new staff or retrain our team?

No. Groflex is designed to work within your existing approval workflows. Approvers receive recommendations through a simple UI or email, they review and click approve or reject. There is no complex new system for your team to learn.

Can Groflex handle our custom ERP configuration?

Yes. During the pilot, we map your specific ERP schema, approval hierarchy, and policy rules. Groflex adapts to your configuration, not the other way around. We have handled highly customized SAP environments and bespoke WMS systems.

What happens if the AI makes a wrong recommendation?

The human approver rejects it. Every recommendation is reviewed by a qualified person before execution. Groflex logs the rejection, the reason, and the outcome, so the system learns and the audit trail is complete. Nothing executes without explicit approval.

How does the role-based approval system work?

You define which action types require which approver roles. Inventory transfers route to VP Supply. Financial markdowns route to CFO. System write-backs route to IT. These rules are configured during onboarding and enforced by the platform, no action bypasses the defined authority matrix.

What is the audit trail, and who can access it?

Every detection event, recommendation, approval or rejection, and documented action is logged with timestamp, user ID, and action detail. The trail is designed to be tamper-evident. The structure is designed to meet EU AI Act Article 12 traceability and logging requirements and to capture FDA FSMA 204 Key Data Elements for food traceability. Regulators, auditors, and board members can be given read-only access to specific audit packages.

Does Groflex store our operational data?

No. Groflex reads signals from your systems and writes approved actions back in. It does not store your operational data in a Groflex database. Your data stays in your environment.

How does Groflex handle GDPR requirements?

Groflex is designed with GDPR principles in mind. All data processing is documented. A Data Processing Agreement (DPA) is available on request. No personal data is processed beyond what is required for approval routing (name and role of the approver). Our formal GDPR compliance programme is underway.

Groflex is designed with FDA requirements in mind. For food operators, the audit trail captures all Key Data Elements required by FSMA Rule 204. For healthcare, the logging structure is designed for FDA 21 CFR Part 11 electronic records requirements. HACCP deviation documentation is auto-populated. Formal certification is part of our compliance programme.

What is the status of SOC 2 certification?

SOC 2 Type II certification is in progress. We have a full certification roadmap available for enterprise procurement teams upon request. In the meantime, we provide a detailed security architecture overview and can complete enterprise security questionnaires.

How is access to Groflex controlled within our organization?

Accepted Answer

Groflex uses role-based access control (RBAC). Users only see recommendations and data relevant to their defined role. Cross-role data visibility is architecturally prevented, a category manager cannot see a finance approval queue, and vice versa.

A typical 4–6 week paid pilot includes: read-only integration in week 1, live recommendations by week 2–3, first approved executions by week 4, and a full outcome report at the end.
